Registration and deposit
The agreement is binding for both parties when the offer is accepted by the client within the given time limit. Dalhoff Travel must provide the agreed upon offer, unless the offer is subject to change based on availability.
Final Payment
The balance of the trip must be paid and received within 60 days prior to the departure date unless otherwise stated. Tickets and other travel documents will then be forwarded so that they are received within 10 days before the departure.
Change / cancellation and Substitution of the journey
A journey can be changed free of charge before the deposit is received. After payment of the deposit, changes may result in an extra charge. This is dependent on how late the change is requested, and on the nature of the modification.
The deposit will be charged if a trip is cancelled more than 60 days before the departure
If a trip is cancelled within 60-30 days before the departure, 50% of the total price is chargeable. If a trip is cancelled within 30 days before the departure the full price will be charged.
Changing the traveler’s name on a flight ticket is rarely permitted by the airline. However, some airlines provide this service for an additional fee.

Cancellation due to illness
You can purchase cancellation insurance for 6% of the total cost to protect yourself from financial loss due to unforeseen circumstances.
Your cancellation insurance must be purchased when a trip offer is accepted and no later than with your deposit. Once the cancellation insurance has been paid for it cannot be cancelled or refunded. The cancellation insurance does not apply for changed travel plans or if you regret purchasing the trip. Please note that the coverage of this cancellation insurance is limited if the reason of the cancellation is due to a persons aged 75 years or older.
Travel insurance
As of August 1, 2014 Danish citizens are no longer covered by the Yellow Card outside of Denmark. It is urged that all travelers procure additional travel insurance for trips abroad.
Purchasing travel insurance will give you peace of mind throughout your journey. Should an accident happen or if you fall ill, you will have access to 24 hour emergency assistance with our Danish speaking doctors, nurses and crisis psychologists.
Names of passengers
It is the client’s responsibility to ensure that upon booking all names given correspond to those written in each traveler’s passport. Each traveller is responsible for carrying a valid passport, in compliance with any applicable rules and that all travel documents bear names as written in their passport.
Check-in may be refused if there are any discrepancies between names given in a passport and any other travel documents. Additional fees apply when changing names on any confirmed travel documents. Contact Dalhoff Travel immediately in case of any amendments for travel documents. Remember to carry your passport for all trips, including those within Scandinavia.
Changes in Price and schedule
Because the cost of a trip is based on current prices/currencies, Dalhoff Travel can legally raise the agreed upon price as a result of increasing transport costs, such as fuel charges, changes in taxes and fluctuation in currency rates. The client must be notified about any changes in costs 21 days before departure.
The times indicated on the ticket and itineraries are always based on local times. There may be changes in departure and arrival times after the purchase of insurance, therefore, always double check the schedule prior to departure.
Passports, Visas and Vaccinations
It is each traveler’s responsibility to carry a valid passport, visa, or transit visa if necessary. It is also each traveler’s responsibility to acquire the appropriate vaccinations for themselves and for any accompanying children. It is the agency’s responsibility to inform the client of such requirements, but the client’s own responsibility to fulfill them. Passport, visa and vaccination requirements are provided for individuals holding Danish passports. If a traveller does not carry a Danish passport, then it is their own responsibility to acquire the appropriate requirements based on their country’s embassy rules.
No show / unused services
If a customer is not present at specified times or locations for any part of the itinerary, the trip is not cancelled and will not be refunded. If a customer has not procured the correct travel documents (flight tickets, passports, visas, etc.), the trip is not cancelled and will not be refunded. On any flight itinerary with connecting flights, all prior connections must be made for the last flight to be valid. Airline companies reserve the right to cancel further connecting flights if the traveller misses any prior connections on the issued itinerary.
